Hotspot Area - Includes five (5) hotspots
Interactive Homepage Hotspot Map
MembersFirst will build an Interactive Hotspot Map on the Customer's Homepage. Using an image provided by the Customer, the Hotspot Map will indicate additional interactivity through the use of hovers/clicks on certain elements, most often highlighted through indicator dots, numbers, or icons. The placement of these highlighted elements is required to be pre-defined during the design/build of the Hotspot Map and cannot be changed or modified by the Customer after approval. The Customer will be able to modify certain components of each highlighted element including, depending on the design, things like title, subtitle, text, or imagery.
The Hotspot Map will be available on desktop iterations of the website and will adhere to WCAG 2.1AA ADA requirements for the web.
Directories and Modules
Art Directory
The Artwork Listing Search Page is the page by which visitors to your website find and view the artwork records. The artwork entered into the database will automatically be displayed in the correct area based on the fields entered into the Artwork Maintenance module. The user will have the ability to search/filter by artist name, artwork title, artwork year, artwork type, artwork medium, artwork status, artwork location, keyword and artwork flag (wild-card field). Modification to these requirements will be reviewed on a case by case basis. Artwork records will contain the aforementioned data fields as well as the ability to create unlimited custom fields*.

MembersFirst will load up to 10 artist and 10 artwork records prior to website launch.
Business Directory
The Business Listing Search Page is the page by which visitors to your website find and view the business. The business entered into the database will automatically be displayed in the correct area based on the fields entered into the Business Directory module. Using the "Search Text" box, the user will have the ability to search/filter by business name, address, description, website, phone, email or hours. The user will also have the ability to select business category from the category drop-box to narrow down results to only businesses within that category. Modification to these requirements will be reviewed on a case-by-case basis.
The Business Listing Database will allow club personnel to administer their business listings for the service. There will be an area on the administrative side of the website that allows administrators to add, delete, and modify available business listings. The database will be searchable/filterable by search text, active status, featured status, hidden status, business type, business sub type, and business category as well as the ability to create unlimited custom fields (known in the system as flags.) Custom fields will not be available as search/filter options.
MembersFirst will load up to ten (10) business records prior to website launch.
In the event the client requires additional services beyond the levels defined above as part of the Agreement, MembersFirst will make every reasonable attempt to provide and perform such services, and client agrees to pay MembersFirst the then current standard fees for said services.
Fleet Directory
The Boat Listing Search Page is the page by which visitors to your website find and view the boats. The boats entered into the database will automatically be displayed in the correct area based on the fields entered into the Fleet Maintenance module. The user will have the ability to search/filter by boat name, sail number, owner, type, make, status, tracking (wild-card field). Modification to these requirements will be reviewed on a case-by-case basis.
The Boat Listing Database will allow Club personnel to administer their boat listings for the service. There will be an area on the administrative side of the website that allows administrators to add, delete, and modify available boat listings. The database will be searchable/filterable by boat name, sail number, owner, type, make, status, tracking (wild-card field) and made up of 22 default system-generated data fields including but not limited to the following:
Boat Name, Boat Make, Boat Model, Boat Year, Boat Type, Boat Length, Boat Status, Boat Location, Registration, Sail No., Primary Owner, Image

Printable Member Directory

Create a custom member roster export, from a pre-defined layout provided by MembersFirst, that pulls data directly from the MRM Member Directory module formatted similarly to the club's printable membership handbook.
Member Email Communication
MembersFirst will assist the club with sending an email out to all members (who have an email address in their website profile) with the member's current information (on file within their website profile) listed in the body of the email. The email will encourage members to review the information for accuracy and will provide a link to their website profile to submit changes to update their information if necessary. Email language will be provided by the client. MembersFirst will provide guidance on how to use Bulk Tokens in the email marketing software in order to pull membership data fields to populate the email.
Membership Discrepancy Report
MembersFirst will provide a membership discrepancy report for the club to cleanup

Member Data Maintenance
the Club will be responsible for member data maintenance, clean up, and approvals. All fields must be available in Jonas JCM and MembersFirst MRM. If content is not currently available it cannot be included in export.

Members, Spouses and Dependents must all have their own profile in Jonas JCM and MembersFirst MRM. Real Estate Module
Users will have the ability to search/filter by home type, price, listing date, # of beds, # of bathrooms, and square footage. Includes loading of the first ten (10) properties and provides training to the client to manage going forward.

The database will be searchable/filterable by development, status, agent, property type. The database will be made up of the following fields:

Enhanced Lotteries
Enhanced Lotteries is a point base lottery solution that provides clubs additional robust lottery features including unlimited point ranges, linked groups, and various point calculations and allocations. Once fully enabled for a club, the golf staff can link multiple blocks across a single day and/or multiple courses to work as a single lottery thus requiring members to only submit one entry for consideration to all them.

Junior Programs Module
Program Registration functionality for a set of Programs and Sessions based on a weekly schedule. The member will be able to sign up one or more children and provide the contact information, child information, selected Program, Session, Schedule, and Week(s) selected. The member would not be able to edit the registration after the initial entry. The administrative features shall include the ability to maintain the list of programs, sessions and schedules that appear on the form as well as view / export and cancel the member's registration entries. The administrator would be allowed to add a new registration on behalf of a member.
Included in the functionality will be the following automated email notifications:
- Email notification to the club upon entry of a registration by a member.
- Email notification to the member upon changes made by an administrator
Mobile Apps
GeoFlex Mobile App
Available on Apple App & Google Play Stores A client-owned Apple device is recommended for implementation
MembersFirst agrees to design, configure, and implement a Mobile Application (“GeoFlex App”) for Customers based upon the software and other tools, templates, techniques, and resources developed or available for use by MembersFirst. As part of the Mobile App Implementation, MembersFirst will provide the following services:

- Pre-implementation discussion and review of the Mobile App functionality
- Project tasks identification, delegation, and management
- Development and management of production schedule
- Customer and task team coordination (technical, design, and production teams)
- Centralized communications and project progress reporting
Timeframe - The MembersFirst GeoFlex App is a sixty (60) day project after the agreement is received. The project will be considered complete once MembersFirst has submitted the Mobile App to the Apple App Store and Google Play Store and provided the Customer with credentials to access the app. Any delays in customer review of the completed app shall not impact this timeline.
Loading/Splash Screen - The customer’s Mobile App Loading/Splash Screen consists of a logo on top of a photograph. The Customer may select the photograph to be used, however, MembersFirst reserves the right to tweak treatment to fit with industry best practices for legibility. Changes to the Loading/Splash Screen require a rebuild of the Mobile App and resubmission to the Mobile App Stores and could incur an additional cost not covered by this project. Any customer-requested modifications to the app’s design or functionality beyond the scope of this agreement will be considered a Change Request and will be subject to additional costs, which will be outlined in a separate statement of work.
Login/Biometrics - The customer’s Mobile App Login screen consists of the main logo, a primary solid color, and a secondary solid color selected from the club’s website. The customer has the ability to change the color at any point through the Mobile App Control Panel. The Mobile App can use biometrics to authenticate user credentials within the login process. A user can quickly re-access the Mobile App after logging in successfully using their website user account and tying that login to the biometrics of their device (either Face or Touch ID.)
Home Screen - The customer’s Mobile App Home Screen consists of a Header, Main Body and Footer. All content must be assigned to the Mobile App to appear.

Calendar - The Calendar area is where the user can see all events that have been added to the Mobile App. The two views available are Month and List. This screen’s layout cannot be modified and colors are drawn from the primary and secondary colors entered into the Control Panel.

Control Panel - The customer’s Mobile App Control Panel consists of five tabs: Navigation, Design, Settings, User Information, and Geofencing. The Navigation tab will be where the customer can configure Quick Links and the customizable Footer Menu element. The Design tab will be where the customer can update their logos, Home Page Background Image, and Primary and Secondary colors. The Settings tab will consist of all customizable app settings, organized by page/module. The User Information Tab will be where the customer can view what versions of the mobile app their users have installed.
Geofencing will be where the customer can add/edit/view geofences, as well as access the On Property Report. As part of the initial implementation, MembersFirst will help the Customer add their first Geofence. Geofences are strongly encouraged to be built with a 200m minimum to ensure accurate entry/egress from locations. Any geofences built with a smaller radius may prompt false positive reporting, entries, or register multiple entries and exits when none took place. The Customer agrees that MembersFirst cannot be held responsible for inaccurate reporting or messaging within geofences that do not abide by these recommended standards.
- On Property Report - The On Property Report allows for customers to report on, and communicate with (through push notifications), users that are currently on property, have been on property that day, or were on property the previous day. On Property Report does not store user location data beyond the previous day. The customer can access Directory information about the user from this report as well.
App Submission - Customers are required to create their own Apple Developer Account. There is a fee associated with creating an Apple Developer Account that the Customer is responsible for. Once created, the Customer agrees to allow MembersFirst administrative access to the account for the submission process to the Apple App Store. The Google Play Store submission is handled through MembersFirst’s Google Account. MembersFirst will create and submit the following on behalf of the Customer:
- Developer-related Certificates/Credentials, Mobile App Screenshots, Mobile App Icon, App Store Icon, Mobile App Short/Long Description
Training
MembersFirst will conduct a walkthrough after the Mobile App has been successfully launched to the App Stores to show website administrators how to navigate the Mobile App and send Push Notifications. A separate training resource is also available for sending Mobile App Push Notifications.

Consists of: Notifications, View Profile, Barcode/QR Code scan, Edit Personal Info, Member Activities (heading is customizable via General Site Configuration), Edit Dining Profile (if MembersFirst Dining Reservations is enabled), Edit Privacy Settings, Change Password, and Logout.
- Calendar -The Calendar area is where the user can see all events that have been added to the Mobile App. The two views available are Month and List. This screen’s layout cannot be modified and colors are drawn from the primary and secondary colors entered into the Control Panel.
- Menu - Customer’s Mobile App Menu will be comprised of a combination of the following (some of the following require individual purchase) directory, statement, or transaction modules (required to be available in the current MembersFirst Website), plus the addition of Recent Notifications and Settings:Home, Club Calendar, Member Directory, Member Organizations, Club Personnel List, Library Document List (assigned to Mobile App), File Library List (assigned to Mobile App), Image Album List (assigned to Mobile App), Member Facilities, Marketing Request Forms, Account Statement View, Tee Times Reservations, Booking Reservations, Dining Reservations, Navigation Section Layout (to display Today's Events and Inserts assigned to a navigation section), Recent Notifications (push notifications archive), External Link (e.g. View Full Website), Settings which may include: Privacy, Terms of Use, Report a Bug, Logout, and Clear Settings Cache.
Control Panel- Customer’s Mobile App Control Panel consists of three tabs: Navigation, Design and Settings. The Navigation tab will be where the client can configure Quick Links and the customizable Footer Menu element. The Design tab will be where the client can update their logos, Home Page Background Image, and Primary and Secondary colors. The Settings tab will consist of all customizable app settings, organized by page/module.
App Submission - The Customer is required to create their own Apple Developer Account. There is a fee associated with creating an Apple Developer Account that the Customer is responsible for. Once created, Customer agrees to allow MembersFirst administrative access to the account for the submission process to the Apple App Store. The Google Play Store submission is handled through MembersFirst’s Google Account.
MembersFirst will create and submit the following on behalf of the Customer:
- Developer-related Certificates/Credentials, Mobile App Screenshots, Mobile App Icon, Mobile App Short/Long Description
Training - MembersFirst will conduct a walkthrough after the Mobile App has been successfully launched to the App Stores to show website administrators how to navigate the Mobile App and send Push Notifications. A separate training resource is also available for sending Mobile App Push Notifications.
Updates/Releases - MembersFirst will submit new versions of the MembersFirst Mobile App to the app stores on the customer’s behalf as part of the ongoing support and maintenance. Most updates/releases are considered minor and include small bug fixes or enhancements. Notifications will not be sent prior to these types of updates being processed through the App Stores. Major updates/releases to functionality, however, will be preceded by an email notification to the Customer detailing the upcoming changes. MembersFirst reserves the right to decide what constitutes a major update/release.
Mobile App will be compliant with the latest two (2) major release versions of Android and iOS. User experience and display may vary between mobile devices.
Use of Intellectual Property - Customer agrees to provide MembersFirst, and hereby authorizes MembersFirst to incorporate, Customer’s trade-mark(s), copyright(s) logo(s), brand, name, artwork, tagline(s), insignia, indica, graphic assets, and other material (“collectively, “proprietary markings”) and content in connection with the development of the Mobile App. Customer hereby authorizes MembersFirst to make the Mobile App available on a variety of app stores, including the Apple App Store and Google Play Store. Customer agrees to grant MembersFirst a limited, nonexclusive, nontransferable, perpetual license to reproduce the Customer’s proprietary markings and MembersFirst will retain all intellectual property in the Mobile App.
Customer Waiver of MembersFirst Liability - Customer acknowledges that this requested Mobile App requires MembersFirst to submit a product to the Apple App Store and Google Play Store on behalf of the Customer. This allows the Apple App Store and Google Play Store to use Customer and/or Customer affiliate’s credentials to access the private section of the MembersFirst Mobile App product. As such, Customer agrees to waive all liability related to any security breach of MembersFirst products.

Mobile App - Classic
MembersFirst agrees to design, configure and implement a Mobile Application (“Mobile App”) for Customer based upon the software and other tools, templates, techniques and resources developed or available for use by MembersFirst. As part of the Mobile App Implementation, MembersFirst will provide the following services:
Project management led by a dedicated Project Manager responsible for:
- Pre-implementation discussion and review of the Mobile App functionality
- Project tasks identification, delegation and management
- Development and management of production schedule
- Customer and task team coordination (technical, design and production teams)
- Centralized communications and project progress reporting
Timeframe
The MembersFirst Mobile App is a sixty (60) day project after agreement is received.
Mobile App Loading/Splash Screen
Customer’s Mobile App Loading/Splash Screen is comprised of a logo on top of a photograph. The Customer may select the photograph to be used, however MembersFirst reserves the right to tweak treatment to fit with industry best practices for legibility. Changes to the Loading/Splash Screen require a rebuild of the Mobile App and resubmission to the Mobile App Stores and would incur an additional cost not covered by this project.
Mobile App Login
Customer’s Mobile App Login screen is comprised of club logo and a solid color selected from the club’s website. Customer has the ability to change the color at any point through the settings of the website.
Mobile App Home Screen
Customer’s Mobile App Home Screen is comprised of Club Announcements, Club Calendar of Events (happening during the day of viewing) and Inserts with the Location Code of “Highlight” or “Featured Highlight”. All content must be assigned to the Mobile App to appear.

4K Digital Sign - Instances
The MembersFirst Digital Sign is a display utility allowing our clubs to showcase club events and happenings on a computer or TV monitor positioned/mounted at the club.
Requirements
- The client is responsible for the purchase, installation, and setup of a TV/Monitor at 3840x2160 UHD resolution (commonly referred to as 4K) and for connecting the TV/monitor to a computer with Internet access and the most up-to-date version of the Google Chrome browser
Production
Selection of a template from the available library, Creation of one Navigation Section, Creation of one Member Account that will remain always logged in, One-time upload or reassignment of client-supplied content:The project allows for a one-time upload of content and/or reassignment of existing content as part of the project. A MembersFirst Project Manager will supply the format for all content to be returned in. All content provided to a MembersFirst Project Manager must be in an electronic “copy/pasteable” format. The client is responsible for loading all of the following content including, but not limited to:
Club Facilities, Calendar Events, Inserts, Annoucements, Image Albums
Colors will be at the discretion of a MembersFirst Designer to maximize contrast/legibility while attempting to match the current design of the client’s website
Restrictions

Available Content
Depending on the template selected, one or more of the following content objects in MRM will be available for display
- Announcements - Announcement Title: Displayed at the top of the Digital Sign. When more than one announcement is in use the titles will marquee across the top of the display.
- Calendar Events - On templates that support Calendar Events, they will auto-rotate. Color and fonts of Calendar Events are not able to be modified.(Event Title: The first 35 characters of event titles will appear on the MembersFirst Digital Sign. Additional characters are truncated and ellipsed, Event Date, Event Start Time), Facility / Location:Event Location is a free-form text field. Facility is a drop-down that's populated from the Member Facilities list in MRM. The Digital Sign is built so that if Facility is used, it is displayed first followed by what is entered in the Event Location field. The client is responsible for loading their own Calendar Events and Member Facilities outside of the production of the Digital Sign.
- Image Albums - Image Albums within the Digital Sign display are created at an aspect ratio of 1280x860. The client is responsible to make sure that images are loaded into the Image Album appropriately.
- “Flyer” Inserts - Depending on the template that is selected, the “Flyer” Insert may require different resolutions to display appropriately.
“¼ display flyers” are created at an aspect ratio of 1280x860. The client is responsible to make sure that images are loaded into the Insert appropriately.
Right-side ⅓ display flyers are created at an aspect ratio of 1280x1700 and best viewed in portrait orientation. The client is responsible to make sure that images are loaded into the Insert appropriately.
Left-side “⅔ display flyers” are created at an aspect ratio of 2430x1700 and best viewed in landscape orientation. The client is responsible to make sure that images are loaded into the Insert appropriately.
- Highlight Inserts - Note: There is no maximum, however, MembersFirst recommends no more than three inserts.

Requests for work not included in this agreement will be responded to in a reasonable timeframe and may incur additional fees.
- DNS is required to add a TXT record for appropriate setup in Google Search Console. The customer may be required to work with an internal IT team to add this TXT record in order to complete this portion of the project. If the customer is unable or unwilling to add the TXT record, the project will be closed without the necessary Google Search Console setup being complete.
- If, for any reason, the customer chooses to not enact a portion or portions of this agreement no refund or credit is due.
Digital Marketing Campaign
One (1) Content Offer One (1) Conversion Path w/ SEO Copywriting for six (6) Social Media posts
Your digital marketing campaign with MembersFirst uses online content to attract and retain your website's audience and provides an easy way for prospects to convert into leads through a conversion path without the use of promotional pricing or membership specials. Our focus is to display information in a design and distribute it to where your prospects are searching to enhance your brand awareness and increase leads.
All Digital Marketing Campaigns include the following:
Defined Goal - MembersFirst will work with the Customer to determine the defined goal of the Digital Marketing Campaign to show and explain the connection of strategies and progress, prioritizing the most important goal first.
Content Offer
A tangible asset that your prospects will want to download in exchange for their information helping you to increase your lead database.
MembersFirst will write and design one (1) educational/informational resource with a maximum of ten (10) pages, or at MembersFirst discretion. A user must provide personal information in order to access the content - typically name, email address, phone number, or answer a low-friction question. The content lives on a “Thank You” page which is accessed by filling out a form on the campaign’s landing page to help convert visitors into leads. MembersFirst will work with the Customer to define the topic of the asset and collect relevant digital media (images, logos, video, etc.)
Content offers can include, but are not necessarily limited to:
- Golf Guide, Golf Membership Fact Sheet, Seasonal Membership Fact Sheet, Benefits of Membership Guide, Renovation Reveal Photo Ebook, Amenity Specific Ebook (spa, tennis, etc), Wedding Guide Packages, Golf Outing Packages
MembersFirst will email a proof of the Content Offer to the customer and allow for one (1) round of revisions to take place before the content offer is considered approved. Upon approval, MembersFirst will host the Content Offer on the Conversion Path’s “Thank You” page and deliver it through the auto-generated follow-up email.
Note: An existing offer may be revised, redesigned, repurposed or reused depending on objectives and target audience.
Marketing Email for Existing Leads - A single marketing email written by MembersFirst, focused on the content of the campaign, to be sent through MRM to a customer-provided lead list with the goal of sharing the campaign to promote engagement with your existing database.
- Lead list prep which includes providing import sheet and uploading to MRM. Uploads may include: Title, First Name, Last Name, Email
- Provide copywriting to entice leads to explore the content offer.
MembersFirst will email the customer a draft of the Marketing Email and allow for one (1) round of revisions to take place before the final email proof is sent. Upon final proof, no additional revisions will be made to the Marketing Email and it will be up to the Customer to send the email out to their leads through MRM.
Conversion Path - A Conversion Path is the combination of a Landing Page containing a form, “Thank You” Page, and an auto-generated Follow-up Email. MembersFirst will create up to one (1) conversion path with all the elements of the conversion path to increase lead generation for the Customer based on the content offer.
Landing Page - A responsive webpage, branded to the Customer’s existing website, and optimized to host the Content Offer to appeal to not only visitors but attractive to search engines as well. MembersFirst will:
Create landing page with lead capture form, Provide copywriting to attract visitors to the offer, Use relevant digital media (images, logos, video), One-time content load, Place call-to-action(s) based on optimal user-experience on the customer's website.
“Thank You” Page - A page that’s served after the form has been submitted on the landing page. MembersFirst will:
Create a Thank You page where a lead can download the content, Provide copywriting to entice lead to explore the website further, Create a Call-to-Action button, One-time content load.
Auto-Generated Follow-Up Email - An email triggered by the form submission on the landing page containing download link to the content asset and any relevant next steps for the prospect.

Conversion Path Search Engine Optimization (SEO) - One-time effort to optimize the Digital Marketing Campaign for organic search results using keywords relevant to the marketing campaign. MembersFirst will optimize, where appropriate:
Page titles, Meta descriptions, User-experience, Image alt text and file size compression, Search engine friendly URL(if applicable
MembersFirst will perform an internal Quality Assurance (QA) Review and make any required edits before providing a proof of the Conversion Path to the customer. After the proof has been sent, the customer will be allowed one (1) round of revisions to take place before the campaign is considered approved for launch.
Social Media Posts Copywriting - Posts created to increase organic and referral traffic to the campaign landing page and provide content for customer’s social followers.
MembersFirst will write up to six (6) social media posts and send them to the customer at the launch of the campaign. The platforms that the posts are written for will be collected in the Social Media Publishing worksheet during the project. The six (6) social media posts include, where applicable:
Title, Body, Image, URL to Campaign, Provide up to three (3) #hashtags, if relevant to the post
Launch - The project is considered launched when the customer receives the completion document and the final email has been sent from MembersFirst.
Tracking Enablement - In order to successfully track results, Google Analytics should be installed and set up to track traffic and conversions. A MembersFirst Marketing Services Consultant will set up a Customer’s Google Analytics profile to appropriately track the campaign.
Note: Although the set up of the Google Analytics profile is done by a MembersFirst Marketing Services Consultant, the effort does not inherently qualify MembersFirst as being responsible for providing ongoing reporting or answering best practices around Google and its products.
Timeline - The Digital Marketing Campaign is scoped to be completed within 90 days of the signed agreement.

- Content must be provided by the Customer in the format specified by MembersFirst.
- Any additional work not explicitly outlined in this agreement will be highlighted by MembersFirst and, if required, assessed at the then-current rate and charged back to the Customer in a separate agreement.
- This agreement does not provide, or create the liability of, on-demand services provided by MembersFirst. All calls and work are planned and scheduled per the agreement details. Requests for work not included in this agreement will be responded to in a reasonable timeframe and may incur additional fees.
- If the customer is unable to attend scheduled calls or reviews, there will be an attempt to reschedule within the project timeline. If no call occurs during this timeline, a notice of project completion email will be sent to the Customer authorized by signature in this agreement and the project will be closed.
- If, for any reason, the customer chooses to not enact a portion or portions of this agreement no refund or credit is due.
- Conversion Paths are designed at MembersFirst's discretion to follow best practices.
- MembersFirst does not monitor customer Social Media accounts for follower interaction or reaction including liking, retweeting, sharing, commenting, or responding.
- The Customer is required to create a Google Analytics account and provide access to MembersFirst in order to successfully set up tracking and provide a foundation for any future reporting on the campaign.
Digital Marketing Campaign Report
Includes the following for a single campaign: Top-level traffic Lead generation Email Marketing metrics 30-min report review
A single report, per Digital Marketing Campaign, that details information on top-level traffic, lead generation, email marketing metrics and customer-specific annotations within the customer-determined time period. All data metrics are tied to a single specific Digital Marketing Campaign that is identified prior to the report being built. All data collected comes from MRM and/or Google Analytics and once built, Members will then allow up to one hour of meeting time to review the report with the customer.
Up to three report evaluations will be provided by a MembersFirst Marketing Services Consultant per category of the report. Categories include the following:
Top-level Traffic Metrics
MembersFirst will prepare the following information for the Landing Page:
- Traffic volume from top-5 sources (e.g. Facebook, third-party directories, etc.)
- Overall traffic through the conversion path with segmentation;
- Direct
- Organic
- Paid Search (if applicable)
- Time on page
- Devices they used
- Targeted keywords
- Geolocation of searches
- Top-5 states
- Top-5 towns/cities (in-state)
Lead Generation
- Landing Page Leads - A submission of a Marketing Request Form in MRM directly tied to the campaign.
- Conversion Rate - A conversion is defined as Landing Page MRM Marketing Request Form submissions divided by the total number of visitors according to Google Analytics during the same time period.
- Cost per Lead Acquisition - The cost of the original Digital Marketing Campaign project divided by the total number of leads generated through MRM Marketing Request Form submissions.
Email Marketing Metrics
MembersFirst will provide statistics on email marketing that was done as part of the Digital Marketing Campaign and will provide results based on the lifetime statistics of the email. Those metrics may include:
- Sent - We cannot confirm that these people have read or received the email. However, we can confirm that the email left our server without error and we did not receive any bounce back from the recipient.
- Confirmed Message Read/View - We can confirm that these people have received and opened the email. It does this by tracking a hidden image that gets downloaded by the recipient when they open the email. But if the recipient has images turned off we cannot track them and then they would remain in the Sent category.
- Clicked Through - When someone clicks a link inside the eblast, any link, our system automatically takes them out of the Confirmed Message Read category and puts them into this third category. So these people are still confirmed to have opened the email since they clicked a link.
- Undeliverable - When an email bounces back to us and we know it was not delivered. This can be for any number of reasons including mailbox full, recipients mail server thinks the message is spam, mailbox no longer exists...etc
- Permanently Undeliverable - When an email bounces 5 times in a row we put it on permanently undeliverable and do not even attempt to send to them anymore. The reason for this is email providers might consider us spam if we continue sending to an address that they are bouncing. If someone is on the list and you know the address is valid let me know, I have to remove it for you.
- Invalid Address - This means the email address is not correctly formatted (e.g. missing @ symbol, missing .com/.net, etc.)
- Duplicate Address - The system automatically removes any duplicate addresses. It will send to the first instance of an email address. So if two members have the same email address on file whichever name comes first alphabetically will be sent to and the second one will not.
- Opt-Out - When a member clicks the unsubscribe link at the bottom of an eblast they are added to the opt-out list. Once an email address is on the opt-out list we no longer send them any eblasts. Members can opt back into the system on the member preferences page or an admin can opt them back in using the Opt-Out Maintenance tool.
Note: Emails must be sent through MRM in order for MembersFirst to provide data.
Report Review & Recap
MembersFirst will conduct up to a 30-minute report review for the Customer’s main point of contact. During that call, MembersFirst will review the current report and evaluations. MembersFirst will share a PDF export of the report to the email addresses defined by the Customer.
Timeline
The Digital Marketing Campaign Report is scoped to be completed within 30 days of the signed agreement.

Email Marketing Planning Call
One-hour planning call with a goal of outlining 3 - 6 months of emails to promote MembersFirst Digital Marketing Campaigns.
MembersFirst will lead a single, up to one-hour Email Marketing Planning Call with the goal of leaving the Customer with a plan on how to execute their Email Marketing initiatives over the next three to six months to promote completed Marketing Services Digital Marketing Campaigns.
Preparation
MembersFirst may require examples of existing marketing emails that are being sent and will review the customer’s answers to some basic questions, including:
- Do you have any active campaigns running?
- Have you already, or do you plan to, follow-up with any marketing emails that have been sent out in correlation to an already-running campaign? If so, what does that follow-up look like?
Call
During the call, a Marketing Services Team Member will answer Marketing Services email-related questions and provide recommended dates/topics/content feedback uncovered during the preparation for the call. Additionally, MembersFirst may help provide insight on other amenities or services, either inside or outside the MembersFirst suite of services, which could be valuable additions to the customer’s platform.
Recap
Utilizing information uncovered during the call, MembersFirst will offer their expert opinion and recommendations on areas of improvement in a single follow-up email recap which will be sent to all attendees of the call. Recommendations can include:
- Preparation work completed prior to the call
- Dates/topics/content feedback uncovered during the call
- Listed recommendations made during the call based on the organization’s current process and procedures
- Outlined customer action items to enhance email marketing performance
Timeline
The Email Marketing Team Member is scoped to be completed within 30 days of the signed agreement unless they are bundled with a Digital Marketing Campaign, at which point they will launch alongside the Digital Marketing Campaign.

A single marketing email written by MembersFirst, focused on an existing content offer, to be sent to a customer-provided lead list with the goal of sharing the campaign to promote engagement with your existing database. These marketing emails may be used to follow-up with your campaign leads or market directly to existing leads that have interacted with previous marketing emails (opened & clicked, only opened, or haven’t opened.)
MembersFirst will email the customer a draft of the Marketing Email and allow for one (1) round of revisions to take place before the final email proof is sent. Upon final proof, no additional revisions will be made to the Marketing Email and it will be up to the Customer to send the email out to their leads.

The Additional Marketing Email(s) is/are scoped to be completed within 30 days of the signed agreement unless they are bundled with a Digital Marketing Campaign, at which point they will launch alongside the Digital Marketing Campaign.

MembersFirst will write up to six (6) social media posts to help increase organic and referral traffic to the customer-selected MembersFirst Digital Marketing Campaign landing page or customer’s blog post. The platforms that the posts are written for will be collected in the Social Media Publishing worksheet during the project and it is the Customer’s responsibility to post to any social media accounts of their choosing as well as any follow-up required by their followers. Each post is specific to one social media account and should not be assumed that it can be used for other accounts as-is.
The six (6) social media posts include, where applicable:
- Title text
- Body/Description text
- URL to campaign of Blog Post
- Up to three (3) #hastags, if relevant to the post
Launch
The project is considered launched when the customer receives all posts from MembersFirst.

Digital Marketing Campaign Reactivation
Reactivation of an inactive existing MembersFirst Digital Marketing Campaign.
Reactivation
MembersFirst will reactivate the campaign before going through the revision process. It’s required that the campaign is fully reactivated before the revisions process can begin.
Content Offer
MembersFirst will confirm that the Content Offer tied to the campaign being reactivated exists in the File Library and that the asset is active in the system.
Conversion Path
MembersFirst will reactivate the Landing Page as it existed at the time of deactivation, the “Thank You” Page as it existed at the time of deactivation, and the Auto-generated Follow-up Email as it existed at the time of deactivation. It is required that the conversion path exists in MRM and is in a deactivated state. MembersFirst will not be able to recreate the Conversion Path or any portions of it within the scope of this project.
Redirects
MembersFirst will coordinate all necessary redirects according to best practices to get the campaign live on the desired URL.
Website Calls-to-Action (CTAs)
MembersFirst will create new CTAs within the MRM website that point to the Digital Marketing Campaign that is being reactivated.

This program is designed to add value to the new member onboarding process and work alongside the personal touch of welcoming new members.
- Maintain a consistent process for all new members with automation that uses current digital tools within your website.
- Create an introduction experience in order to encourage new member testimonials, reviews, and membership referrals.
- Encourage and entice the use of customer amenities to promote non-dues revenue.
Planning - Project planning and management overseen by a MembersFirst Marketing Services Consultant, comprised of the following:
- One-hour planning call to review current process and define goals, Identify and outline topics and content for New Member Welcome Center sections, Identify which topics will be included in email communications, Advise customer on updating recent new member join date, Review account and settings for completing communications, Testing and analysis
New Member Welcome Center
Available 24/7, the New Member Welcome Center is a website section template, created by MembersFirst, that lives within the existing navigation of your private website and is exclusive to your members. This centralized hub is an area for new members to get started by exploring everything you have to offer. Members can find the answers to FAQs and learn how to use the clubs integrated online tools. The New Member Welcome Center pulls information from the member side of your existing MembersFirst website, including directory information, calendar of events and other content as decided on the planning call. Examples of member content that can be used within the New Member Welcome Center include:
- Overview - Insert-driven with the ability to showcase an HTML area for text/images, Featured Highlights - Insert-driven with the ability to showcase a title, image and short text, FAQ - Insert-driven and expandable with a click. Features a title and short HTML area for text/images, Highlights - Insert-driven with the ability to showcase a title, image, and short text, Button(s) - Quicklinks-driven links to other resources, Upcoming Events - Driven by the Calendar of Events within your website. Customer responsible for assigning relevant events to the Navigation Section to display events, Callouts - Insert-driven with the ability to showcase a title, image, and short text, New Member Questions Form - Standardized Marketing Request Form with a name, email and one (1) comment field for members to submit questions to staff.
All content within The New Member Welcome Center is dynamic and if a particular area is not used, it will not appear within the page template and other content will move/wrap on the page accordingly.
MembersFirst will include the following as part of the service being offered:
- New Member Welcome Center website section page

New Member Welcome Center Revisions - Your project allows up to two (2) rounds of revision cycles for the content on the New Member Welcome Center. If you feel this is not enough, more revision cycles can be added at an additional cost at the then-current rate. The New Member Welcome Center will be presented to the customer during the content review calls. After each call the customer will be asked to review each asset and provide revisions in the document created by MembersFirst. The topics of the new member welcome center can not change during the revision process, you can make requests for revisions and the MembersFirst team will guide the customer through what is best to be displayed for a successful program.
Communications
Communication Series - Using background information collected in the Planning phase, MembersFirst will create and implement one (1) communication series composed of up to seven (7) email communications determined and triggered by join date/created date within each series. One or multiple membership categories can be included in a single communication series.

- Weekly Examples - Welcome to the Club, Meet Your Club, Customer-provided resource, Using the club website (Member Profile, Mobile App, Reservations), Offers (Discounts/promotions to encourage amenity usage)

Note: Usernames, passwords, and sensitive information are not able to be included in Automated Recurring Messaging.
Each individual email acts independently. Members who meet the distribution group criteria (e.g. active status, membership category) will receive each email on the trigger date based on the criteria of member effective date or create date. Eg. If the program launches today and email 5 has a trigger date of three (3) months, a member who joined three (3) months ago will receive email five, even though they did not receive emails one through four.
MembersFirst will include the following as part of the service being offered:
- Distribution Group selection, Topic discovery & outline creation, One (1) communication series with up to seven (7) email communications, Email template creation
Note: Additional emails created by MembersFirst can be requested and will incur additional cost.

If you feel this is not enough, more revision cycles can be added at an additional cost at the then-current rate. The Customer will receive a proof for each series and after each call the customer will be asked to review each email and provide revisions in the document created by MembersFirst. The topics of the emails can not change during the revision process, you will have approved topics prior to receiving your first draft. You can make requests for revisions and the MembersFirst team will guide the customer through what is best to be sent to new members.
New Member Survey - The MembersFirst Marketing Services Consultant will provide a recommendation for a New Member Onboarding Survey including questions, if applicable, to send as part of one of the seven communications in each series of communications purchased. The customer may provide questions to replace those provided by MembersFirst.
- One (1) New Member Survey with up to eight (8) questions per Communication Series
Timeline - The New Member Onboarding Program is scoped to be completed within 90 days. The project kick-off will be within 30 days of the signing of this statement of work.
Launch
Upon final approval of email communications the emails will be activated on a previously agreed upon date. If there is a request for delay of activation training resources will be provided for the customer to launch at a later date. If the Customer wants to add the New Member Welcome Center to the navigation of the website, MembersFirst Production Team will make the update at this point. A completion email will be provided including the final draft of completed emails, direct link to the New Member Welcome Center and helpful links to the resources that are available in the MemberFirst Learning Center. Once launched, the project will be considered complete and closed in our system. The Customer will be transitioned from their Marketing Services Consultant back to their assigned Client Services Manager.

If this project remains open 12 months after signing or launch of the website (due to customer delays), MembersFirst reserves the right to close the project as-is. Additional work would require a new project be scoped and signed at the then-current rate.
New Member Onboarding (NMO) Refresh
This project is for clients with New Member Onboarding already implemented who are undergoing a website redesign or a client who needs extensive help revising the content of their New Member Onboarding program.
Planning
Project planning and management overseen by a MembersFirst Marketing Services Consultant, comprised of the following:
- One-hour planning call to review current content (NMWC and Email Series) and define goals for revisions
- Identify content needed to be added/removed/edited within the NMWC and email series
- Create/provide a revisions document for the client to review and outline additional changes not discovered during the planning call (if applicable)
New Member Welcome Center
Marketing Services will work with the client to identify content updates, of which may include changing copywriting, images, adding new content, and removing unnecessary content. The Marketing Services consultant will ensure the fonts, colors, and textures of the website redesign (if applicable) are accurately transposed to the NMWC page as best as possible.
Note: The wireframe template used for the New Member Welcome Center is not editable during the course of this project. Additional information and copywriting for full-page text will remain the responsibility of the customer, unless otherwise stated.
Email Series
Marketing Services will work with the client to identify current email series content requiring updates or topic changes within the series of seven (7) emails. The client has the ability to request that an email topic be removed and a new email written as a replacement, or a combination of topics to account for a new topic. If additional emails that are added exceed seven (7) total emails, an additional cost may be incurred at Marketing Services discretion.
Marketing Services will work with the client to adjust the colors, images, and logos to better align with the website redesign (if applicable), but any requested changes to the layout and structure of the email template are not a part of this scope and may incur additional cost.

Marketing Services and the client will decide on the implementation date, and Marketing Services will complete all discovered and requested revisions to the NMWC content and email series on the agreed-upon date to ensure no disruption in the program.
Timeline
The project kick-off will be coordinated with the website Project Manager (if applicable), and the New Member Onboarding Revisions project will be scoped to be completed within 30 days of the redesign launch or 90 days from contract signing if added as a stand-alone project.

- Email communications will be presented to the customer during content review calls. The Customer will receive a proof for each round of revisions and after each call the customer will be asked to review each email and provide revisions in the document created by MembersFirst.
- The topics of the emails can not change during the revision process, you will have approved topics prior to receiving your first draft. You can make requests for revisions and the MembersFirst team will guide the customer through what is best to be sent to new members.
Timeline
When included with a New Member Onboarding Program, the additional Communication Series will be incorporated into the time estimate for that project. When added after the fact, the work is scoped to be completed within 30 days.
Launch
- Upon final approval of email communications they will be activated and added to the New Member Onboarding program. If there is a request for delay of activation, training resources will be provided for the customer to launch on their own at a later date.
- Once launched or at the request for delay of activation, the project will be considered complete and closed in our system. The Customer will be transitioned from their Marketing Services Consultant back to their assigned Client Services Manager.

- If additional content or automated communications are required beyond what is outlined above, additional fees may be required.
- If this project is canceled for any reason by the customer no refunds will be provided for the work completed.
If this project remains open 12 months after signing or launch of the website (due to customer delays), MembersFirst reserves the right to close the project as-is. Additional work would require a new project be scoped and signed at the then-current rate.
NMO Additional Email(s)
An additional email that can be added to an existing communication series.
MembersFirst will implement a single New Member Onboarding email focused on a single topic written by MembersFirst to be applied to a new member onboarding communication series. The email will be added based on a trigger by the join date/create date within each series.
Planning
Project planning and management is overseen by a MembersFirst Marketing Services team. There will be a up to a 30 minute planning call to review to define recipients and goals for communication series email and outline the topic details for the email.
Additional NMO Email(s)
Each individual email acts independently. Members who meet the distribution group criteria (e.g. active status, membership category) will receive the add on email on the trigger date based on the criteria of member effective date or create date. Eg. If the program launches today and email 5 has a trigger date of 3 months, a member who joined 3 months ago will receive email 5, even though they did not receive emails 1 through 4.
MembersFirst will include the following as part of the service being offered:
- Distribution Group selection
- Topic discovery & planning
- One (1) single email to be added to a communication series
- Email template creation
Note: Additional emails created by MembersFirst can be requested and will incur at the then-current rate.

Report
A MembersFirst Marketing Services Consultant will prepare a report that details information on traffic, email engagement, and survey results within the customer determined time period. The MembersFirst Marketing Services Consultant will offer recommendations for optimization of the New Member Onboarding experience.
Traffic
Using Google Analytics, MembersFirst will prepare information on statistics to the New Member Welcome Center. Parameters in the traffic report include the following:
- Devices
- Content-specific metrics:Unique Pageview, Bounce Rate,Average Time on Page, Users
Email Engagement
Using MRM, MembersFirst will prepare information on email engagement statistics around the currently-running automated recurring messages being sent to new members. Parameters in the email engagement report include the following:
- Sends
- Opens
- Clicks
Note: Since the New Member Onboarding Program can launch in the middle of a new member’s onboarding experience, members may not receive the initial email if they had started before the program launched but may receive subsequent emails if it aligns with the timing of their onboarding lifecycle. In this event, you may see an increased number of members in later stages vs. the early stages of the program for the first several months.
Survey Results
Using MRM, MembersFirst will prepare information on survey results around the currently-running survey being sent to new members. Parameters in the email engagement report include the following:
- Total number of new members that were eligible to receive the survey / Total responses
- Summary overview of all survey responses
Recommendations
Utilizing information found in the preceding components of the report, the MembersFirst Marketing Services Consultant will offer their recommendations for improvement of the program within the report.
Optional: Services & Amenities Evaluation
The MembersFirst Marketing Services Consultant will provide the customer with a questionnaire that they can answer leading up to the review call. The questionnaire is optional, but can provide additional insight about new amenities or services added outside the MembersFirst suite of services which could be valuable additions to the New Member Onboarding Program.
Note: The Service & Amenities Evaluation is an optional component of the ‘Marketing Services: New Member Onboarding Reporting & Optimization’. The customer will have an opportunity to provide a finished evaluation back to the MembersFirst Marketing Services Consultant ahead of each of the one-hour review calls, however if it is not provided back, the calls will continue as scheduled.
Optimization Call
MembersFirst will conduct a one-hour optimization phone call. During that call, MembersFirst will review the current report with the customer and discuss recommendations. Included within the one hour call is a 30-minute working session to implement recommendations within the program. Recommendations may vary and could include commentary on any of the following:
- Email Communication Series
E.g. Changes to: Subject Lines, Call-To-Action Buttons, Headers, Subheaders, Banner Images

Customer and MembersFirst agree that MembersFirst will configure the Software to allow a link between the MembersFirst Hosted Website and the Pacesetter Mobile App. Pacesetter will pass an encrypted token to MembersFirst containing the member identification and destination URL. MembersFirst will sign the user into the MembersFirst system to the specific page destination identified in the token. Customer and MembersFirst agree that MembersFirst will configure the Software to create an Interface to enable MembersFirst to feed a Member Roster to Customer’s Pacesetter software (which is defined under the Agreement to be a Third Party Service). MembersFirst will provide the following information via FTP; all “active” Members with MembersFirst Member number and username. In addition, MembersFirst will reference whether the account is hidden in the Member Directory. All other information will not be passed through the secure portal.

Customer and MembersFirst agree that MembersFirst will configure the Software to create a Link between the Website and the Golf Genius services (which is defined as Third Party Service Fee). Furthermore, customer is requesting to share member’s information with Golf Genius. Golf Genius may obtain all Member information directly from MembersFirst. MembersFirst will authenticate at the time the member requests a login through a linkage provided on the private side of the MembersFirst hosted site. Customer and MembersFirst also agree that MembersFirst may configure the Software to create an Interface to enable MembersFirst to feed a Member roster from Customer’s Golf Genius software (which is defined as Third Party Service Fee).
Member Roster Feeds
Two-way Member Roster Feed with Jonas JCM
MembersFirst will create a sync between the JCM Backoffice Solution and Your MembersFirst website. The following features are offered with the two way roster sync:
- Runs every 6 hours to keep Standard Fields* updated, however MembersFirst reserves the right to lengthen this time, if the sync affects hardware/software performance.
- The sync will only make changes or updates made in the past 6 hours, which includes new members added within this time.
- Basic rules, within reason, can be applied at the onset of your project, changes to these rules are part of your ongoing annual service. Basic rules constitute manipulating member roster data before syncing to the website. No rules are guaranteed and should be discussed prior to signing an agreement.
- Primary and Spouse Accounts must have their own account and are not supported as basic rules for data manipulation.
- If your organization elects to purchase new hardware in which our sync utility resides, additional setup charges may apply to reconnect the sync.
- MembersFirst is not responsible for downtime related to customers hardware and if MembersFirst is not properly notified of such changes, the standard fees for this service will remain payable.
- Custom Fields can only sync from Jonas JCM to MembersFirst.
- Customer takes all responsibility and has ensured proper notification to members/clients that their information is being shared with a Third Party.
- Customer confirms they have a standard current agreement with the Third Party.

The following are not available as part of this service:

Under this integration agreement, clients will be entitled to a maximum of four support cases per year related to the integration between MembersFirst and Zapier. Additional support beyond this limit may be provided at the discretion of MembersFirst. Questions pertaining to moving the data from Zapier to another service will not be supported by MembersFirst. MembersFirst is not responsible for any spam submissions received by the forms.

API Access for The Sheet/Golf Genius Pairings Pull
This integration makes a call to Golf Genius’ API and pulls in all events/leagues in the current Golf Genius season.
MFT admins create an event block on the tee sheet and link it to the same event created in Golf Genius.
Linking the Golf Genius event creates a new block feature called ‘Load Golf Genius Pairings’ that allows admins to auto load the pairings created in the Golf Genius event.
Load Pairings Window allows admins to view pairings prior to loading into the block.
If a member is not recognized, that pairing won’t be loaded.
If a pairing has a guest not found in the guest roster, a new guest profile will automatically be created.
If there are any Holds, they will assume the term (Hold, TBD, X, etc.) used by the club when pulled in.
Load Pairing Window allows admin to set a cart type for all players
If an event/league has multiple rounds, the integration will automatically recognize and pre-load the correct round based off of the block date and round date.
Managed Services
Managed Service Hours Per Month:

MembersFirst will provide Customer with managed site management and member communication services (“Managed Services”) for the service period (the “Service Period”). The Managed Services to be performed for the Customer by MembersFirst during the Service Period will include the following:
a. Weekly Content Collection: Solicitation and collection of club content, provided by the Customer to MembersFirst once per week. Content collected from Customer may include Announcements, Insert Highlights, Club Calendar of Events, Directory Listings (Art, Fleet, Real Estate, Business), Image Albums, Club Personnel, Site Navigation Maintenance, MembersFirst Blogs, and Mailing List Maintenance
b. E-Bulletin Service: Formatting, layout and quality assurance of one (1) electronic bulletin (the “e-bulletin”) to be used by Customer to communicate important news and information pertaining to multiple club events, activities, programs and developments. E-bulletins will be distributed on a weekly basis, up to a limit of fifty-two (52) during each twelve (12) month period of the Term, and prorated for each Service Period less than twelve (12) months in duration.
c. Weekly Content Collection, Posting and E-Bulletin Distribution: MembersFirst and the Customer will mutually agree on a set a day and time of the week to be designated as the “Content Collection Date and Time”. All content delivered to MembersFirst will be submitted via the MembersFirst submission form. MembersFirst will make certain reasonable attempts to post the collected content to the Website and prepare the E-Bulletin for distribution no later than forty-eight (48) business hours from the “Content Collection Date and Time”. If the weekly content collection date is missed by customer, MembersFirst will attempt to post the information within forty-eight (48) business hours but cannot guarantee completed work. The Customer may choose to distribute the E-Bulletin at a later date and time. The Customer will be responsible for all authoring, spell checking, and timely submission of information to be posted to the Website and included in the E-Bulletin. Additional content received after the “Content Collection Date and Time” will be left to the discretion of MembersFirst whether to include as part of that week’s collected materials.
d. Managed Services Exclusions: The following MembersFirst Modules are excluded from the services outlined in section 2.4, unless such services are specifically noted as part of the program above. MembersFirst Tee Times, MembersFirst Bookings, MembersFirst Dining, Club Facilities, Program Module, Surveys, Marketing Request Forms, Third Party Vendors Solutions and any new modules introduced after the initial signing of this agreement.
Managed Services plans can not be created for less than three (3) months. “Content Collection Date and Time” will be scheduled between 9AM - 5PM, Eastern Time, Monday thru Friday. “Content Collection Date and Time” will be determined at the onset of this signed agreement. With the Managed Service program listed above, the customer is allotted a set number of hours a month for services performed. If the services performed exceed the allotted hours, the customer may be subject to additional charges at the then standard rate. Hours may not be rolled over from one month to another.
